Get Started

mod1 The information contained in Grants.gov is written for individual applicants, institutional applicants and grant-making agencies. It is important to be aware that Stanford is an institutional applicant. Therefore, at Stanford, the responsibilities outlined in Grants.gov are divided among the applicant (PI) and the Institutional Rep assigned to the applicant's school/department.

Applicants (Principal Investigators)

  • Use Grants.gov to find funding opportunities, and download the specific application package to their own computer for completion
  • Complete the application off line on their own computer
  • Route the completed and approved application to their institutional rep via eSubmit

Institutional Reps

  • Submit applications to the agencies (on behalf of Stanford and the PI) via Grants.gov
  • Use Grants.gov track the progress of the application through Grants.gov to the sponsoring agency
  • Find Your Stanford Institutional Rep

Note: Due to the expected increase in system activity resulting from the American Recovery and Reinvestment Act of 2009, the Office of Management and Budget (OMB) has authorized steps to alleviate system strain and quickly increase system capacity. PREPARATION
  1. Start working on your application early!

  2. Contact your Institutional Representative: as soon as you know you will be submitting through Grants.gov. Your Institutional Representative is aware of current technical issues with Grants.gov, and can advise you.
    NOTE: Administrators/PIs/Staff do not submit the application directly to Grants.gov. Route the completed application via eSubmit to your Institutional Representative for review and submission to Grants.gov (see Step 5, "Route Your Application").
  3. Administrators/PIs/Staff:
    • DO NOT: create an account with Grants.gov. The only account holders are designated Institutional Representatives in OSR & RMG who submit applications via Grants.gov. While the Grants.gov helpdesk may tell you that you need an account, be assured, you do not need one - the Institution (Stanford) is the only account holder.
    • DO NOT: re-register the Stanford in the Central Contractor Registry (CCR); Stanford has already been registered.
  4. Time Line: When submitting via Grants.gov, you are required to submit your completed application to your Institutional Representative by 9:00 am, at least 5 business days before the agency's submission deadline! Add department/school review requirements to the 5 business days needed for institutional review. (review the memo and addendum)
  5. NIH Applications: If you intend to submit a grant proposal to the NIH, the PI must first register in the NIH eRA-Commons at least two week in advance.
  6. School of Medicine - Contact your RPM

If your PI is already registered, make sure the profile is updated so it is an exact match to what is on the application. (title, degrees, name, etc.)
