Following are resources related to disposal of equipment (both capital and non-capital) at Stanford University. Contact your DPA for assistance with these processes.
Furniture Reutilization Program
Stanford initiated a furniture reutilization pilot program September 1, 2010. In this program, furniture collected from the campus is free to departments wishing to reuse it for Stanford business needs. read more...
Refrigerated Device Disposal
Freezers, Refrigerators, incubators and other refrigeration units should be collected for disposal by PSSI (Peninsula Sanitary Service, Inc). A “Customer Funded Work Request” is required – this is located on the Trash, Recycling and Composting page of the BGM web site http://bgm/groups/cwr/index.
Also, an Excess request in either the SPARC application (for non-tagged items) or Sunflower (for tagged items) is required, and the PSSI work request number must be entered in the field provided. No additional work orders are necessary. PSSI will pick up the unit from your location and process it for proper environmentally-friendly disposal. These collections are generally performed on Fridays. Please note that ONLY PSSI is authorized to dispose of freezers from University departments.
SPARC (Stanford Property Administration Resource Center) is now available!
This new platform will eventually house many common property management activities. The first of these is a new online application -SPARC - for requesting disposal of items not recorded in the Sunflower property record system. Access is controlled. All DPAs should have access. If you would like additional personnel to have the ability to make disposal requests for non-capital (not recorded) equipment and other items, please contact Stan Dunn at 725-0081 for information.
Property Reuse - Re-use of equipment within Stanford University is a priority. Staff and faculty can use this site to "advertise" items they no longer need and are willing to transfer to another department, either for free or for a transfer of funds. They can also post for items they need. In addition to capital equipment, people may also want to post non-capital items or supplies (ie: furniture, toner cartridges, older computer equipment, scientific equipment, etc.). This is not an advertising tool for students!
Electronic Waste Website - Stanford is a "Green Campus", meaning we are environmentally friendly. In order to keep us "green" and "out of the red" we are recycling all electronics (both capital and non-capital).
Excess Information - This tool will provide standard information you can copy and paste into your Excess Request in Sunflower.
Simple Instructions for Equipment Disposal - This tool includes "Disposal Methods" and when to choose them. This information can be used by any person in any department.
Sample "Disposal Request" Worksheet - This is a worksheet departments can use to assist their DPA with Disposal. It is meant for the departments to fill in with the information a DPA would need to process a Sunflower Excess Request for capital, non-capital and sensitive items disposal.
Disposing of DoD Computers
The Department of Defense (DoD) issued a memorandum on May 29, 2001 regarding disposition of unclassified DoD computer hard drives. This memorandum is still in effect. Please ensure you are following the guidance set forth in the memorandum.
"Even Exchange" Disposal method: We no longer use the excess (disposal) process for items that have been returned to the vendor for replacement with an identical model, due to defect or warranty issue. The method "Even Exchange" has been deleted from the system. Going forward, the correct procedure will be as follows:
- Remove the SUID bar-code tag from the asset being exchanged.
- Return the item to the vendor.
- Receive replacement item (identical model).
- Affix the same SUID tag to the replacement item.
(If the tag is not in reusable condition, request a reissue from your PSR)
- Update property record with new serial number, and add a comment in the comment field noting the date of the exchange.
This is ONLY to be done in those cases where the replacement item is identical to the one being exchanged. Full returns or trade-ups should be handled in the Excess process - no change in those. Contact your PSR if you have questions or concerns. |
