Disposal Procedures
The asset user must determine the asset is ready for disposal. They need to let the DPA know if the item is capital or non-capital, and what the disposal method will be (refer to the Excess Request page to see the disposal methods and get text to use in SFA). Scrap Pickup
- For electronic equipment - scrap pick-up will be per pick-up schedule on web
- For large items (ie: furniture, fume hoods, refrigerators, etc.) a Facilities Customer Funded Work Request must be completed.
- Enter this statement on the form: "Labor Shop to pick up and deliver to PSSI for Disposal"
- This work request will automatically generate a work request to the Labor Shop (you need do nothing for this to happen
- If the items to pick up are large (not electronics) Manuel will fax the approved Excess Request form to the Labor Shop/PSSI. This does not automatically schedule a pick-up - you must schedule these pick-ups yourself - ensure your work orders are complete.
- Prior to initiating anything for sale (only conducted through Surplus Property Sales [SPS]), contact Alex Perez at 3-3001 or Stan Dunn at 725-0081.
Disposal of equipment that may have environmental or health impacts requires additional clearances and effort. For general information or specific questions, contact Environmental Health & Safety (EH&S) at 723-0448.
Disposing of Large Non-Hazardous Items or Large Items That Have Already Been De-contaminated
- Create a work order
- Generate a request for the labor shop to pick up and deliver to Peninsula Sanitary Service (PSSI) or to Surplus Property Sales (SPS).
- In the "Remarks- Work Request Details" area of the WR, request that labor be supplied for large items and identify where they are to be carried, such as to PSSI (refuse), or to SPS (sold).
- Additional details in the "Remarks" section of the WR, such as item description, approximate weight, detailed location, etc…informs the labor shop of what to expect.
- Create an Excess Request in Sunflower Assets (SFA). (refer to the Excess Request page to see the disposal methods and get text to use in SFA). Reference the Work Request Number on your Excess Request! If there is more than one item for disposal, make sure that you confine your WR and Excess Request only to those items the Labor Shop will pick up. Call the labor shop at 5-1966 if you have not received pick-up service in two weeks.

Disposing of Hazardous Equipment
- Items to be scrapped or sold must first be decontaminated. Check the EH&S website to determine how to decontaminate your equipment. Once you decontaminate, you can do a disposal as outlined above for large items. For small items, you can request disposal using an SFA Excess Request. Once decontaminated, the scrap pickup vendor will collect these items. In cases where items must be purged of gasses, such as freon, follow the instructions below- PSSI is used exclusively for pick-up of equipment that must have gasses removed- they have an approved containment area.
- You must first create a work order (follow instructions above)
When you get to the "Remarks- Work Request Details" area, include this information: "for PSSI to pick-up, remove the gas and dispose the item". If within two weeks you have not received service, contact PSSI directly at: 321-4236
- Please note that PMO forwards the "approved" excess request form to the Labor Shop and to PSSI. If the Labor Shop and PSSI do not receive an approval from PMO, they will not pick up the equipment.
Disposing of DoD Computers
- The Depatment of Defense (DoD) issued a memorandum on May 29, 2001 regarding disposition of unclassified DoD computer hard drives. This memorandum is still in effect. Please ensure you are following the guidance set forth in the memorandum.
