Property Tags

Property Identification “tags”– e.g. barcode tags, specialized overlays, replacement for damaged tags – are issued to Department Property Administrators by the Property Management Office (PMO).

Stanford University Equipment ID Tags, Overlays and Identifying Strips

Following are all the tags and overlays used to identify assets, Stanford owned and Non-Stanford owned, capital and non-capital, at Stanford University.

Stanford University Identification Tag
(aka: Property Tag, SU.ID Tag, Barcode Tag, SU.ID Barcode Tags):Current Tag Style (since 1999)


Prior tag styles may still be on active assets:




Required Use on:

  • All capital equipment
  • Completed fabrications over $5,000
  • All government-owned equipment
  • All loaned or leased equipment
  • All donated assets over $5,000
  • All sponsor-furnished equipment
  • Non-capital items being tracked in Sunflower Assets (SFA)
Stanford "Non-Inventory Asset" Tag



Required Use on:
  • Removable components of capital equipment
Networking Equipment Tag

Required Use on:

  • Networking equipment - *only* available from your PSR for specific equipment

Government Asset Strip



Required Use on: 

  • All government-owned assets
  • Use this strip if no other government ID is affixed

Title Transferred to Stanford University Strip



Required Use on: 

  • Use this strip to cover the "Government Asset" strip shown above, or any other sponsor tag, when title transfers to Stanford University. Check with your PSR if you are unsure who has current title to any of your equipment

Donated Asset Overlay



Required Use on: 

  • All donated equipment

Non-Capital Asset Overlay



Required Use on: 

  • Use without barcode tag to mark non-capital items which may appear to be capital - if using without SU.ID barcode tag, write the Purchase Requisition No. on the clear window in indelible ink; this will assist auditors or inventory analysts in verifying that the item is indeed non-capital
  • Non-capital items being tracked in SFA (use in conjunction with SU.ID barcode tag)

Fabrication Tag

Required Use on: 

  • Uncompleted fabrication components (do not need to remove after fab is complete) 

Non-Stanford Asset Overlay

Required Use on: 

  • Equipment loaned *not leased* to Stanford University
  • Other sponsor-owned or employee-owned property being used on campus for Stanford business

Leased Asset Overlay

Required Use on: 

  • Use in conjunction with SU.ID barcode tag to identify items leased to Stanford. Please refer to the Lease Section of the manual (go to page 19) when using this overlay.

Sensitive Property Tag

Optional Use on: 

  • Electronic Equipment including PDAs, monitors, calculators, etc. Anything capital or non-capital that should be disposed of as electronic waste. Check the EH&S website for additional information.

Tags, Overlays, “Dots” and Strips Used by the Physical Inventory Group Only

  • Placed on equipment requiring reprinted tags (ie: Tag fell off, was damaged, etc.). Reprinted tags will be ready in a day or so, and either the inventory takers will return and place the new barcode tag on the equipment, or arrange for the DPA to receive the reprinted tags for placement.
  • This tag is removable (printed on "removable labels")
  • Used to identify assets inventoried via Wall-to-Wall inventory - color and year change each cycle
 
        
Previous Inventory Cycle Identifiers

  • Used for Location Inventories Only
  • Multiple colors are for use by Inventory Group to identify if this is the first, second, or third location inventory (colors go from dark blue and get progressively lighter - currently light blue is in use)
