PACE Meetings
PACE Minutes, January 18, 2007

The PACE meeting was a packed session which resulted in a lot of questions.  As such, we thought it valuable to provide this summary. 

Key points include:

  • New PSR - Brian Bretz
  • General Announcements/Updates - see slides for info
  • Export Controls (slides of export presentation) presented by: Steve Eisner, Export Control Officer (ECO)
    • All international movement of assets needs certification
    • Includes carry-on laptop computers
      • DPA awareness is part of an outreach program, as the primary liaison to PMO to help ascertain need for certification or export license
      • PIs, researchers, faculty and staff are responsible for keeping DPAs informed of international travel plans
      • PSR is the initial point of contact.  PMO is working collaboratively with ECO to facilitate the export control processes
  • Integrated Excess System -- PMO, EH&S, SPS, Scrap Vendor (ERA)
    • Scrap Vendor Change
      • Electronic Recyclers of America (ERA)
      • Central pickup point is SPS
      • EH&S to perform campus-wide collection
      • Manuel George coordinates reports and processes data from SFA
  • Scrap Pickup Schedule Changes and Expansions
    • Shift one day for majority of pickups
      • Thursdays north of Serra Street
      • Mondays south of Serra Street
    • Overflow, special pickups, etc on other weekdays as needed
    • Excess request process in Sunflower remains the same
  • Receival Form generation in Sunflower
    • Slight change in parameter selection:
      • Please check box to "include barcodes" on form
  • Computer Label revision (based on initial program feedback)
    • Label texture improved and content adjusted
    • Add excess request number, please
      • On current label stock, replace date with ER#
      • New label requests will receive revised labels
    • All policies regarding information security remain in place

The process for disposal of computers and other data handling devices continues to be a focal point, primarily because of the potential high risk for the university and the substantial volume involved.  University policy regarding the responsibility of the removal of data at the department or custodial level remains in place.  It is imperative that we have checks and balances at various points throughout the process in order to minimize risks.  We appreciate your continued cooperation and compliance with these processes.

We unfortunately ran out of time before all questions and concerns could be fully addressed.  Some of you also have questions specific to your area.  Please contact your PSR in order to have outstanding issues fully addressed and any questions answered.  We try to mitigate the impact any changes may have on your business practices and administrative workload, and count on your feedback to help us tailor the systems to meet the university needs in as efficient a means possible.
