The PACE meeting was a packed session which resulted in a lot of questions.  As such, we thought it valuable to provide this summary. 

Key points include:

END OF YEAR DEADLINES

  • ALL DPA ACTIVITIES FOR FY07 MUST BE COMPLETED BY AUGUST 17 2007, including:
    • Inventory Resolution Entries
    • Asset Records for FY07 Reconciliation
    • Donation Information to PMO
    • Capital Templates Submitted to Cap-Template

  • PLEASE ENSURE YOUR FINANCIAL ADMINISTRATORS ARE AWARE OF THE CAPITAL TEMPLATE DEADLINE!!!!

Other items discussed included:

  • Reminders regarding Excess:
    • Please ensure all preparations are completed PRIOR to generating the excess request.
      • Labor Work Orders (if any)
      • Computer Drives cleared/removed
      • Computer Drive Labels Affixed, and
      • After generating requests, make sure the receival forms are attached to each item!
    • (Failure to perform all of the above as needed will result in refusal to pick up the items)

    • Please post all usable goods to the Reuse web site.  This has been a great success, but can be even more successful if used more consistently.  If it is not taken by another department, please process it for sale instead of automatically scrapping it. 

  • New Decals Available: For non-capital items, we have 1-1/4" round decals available now (in red or black) identifying the item as Stanford University Property.  Ideal for projectors, cameras, PDAs, cell phones, etc.  They include the main number for PMO for return if found.  This is another tool for you to use in protecting your assets.  Feel free to request some of these from Drina Adams (3-9004)  We still highly encourage all computers be recorded for data security reasons, even if not capital.
  • We are reviewing all capital requisitions while they are in the routing stage, and have been for several months.  So far, for fiscal 2007, we have prevented over 3,100 errors amounting to $1.3 Million!  Originators are contacted so they can avoid the errors in future, and their response has been very positive and thankful.  This will reduce the template volume considerably.  Thank you Richard Olsen for performing this task so well.
  • New PMO Asset - John Lee has accepted the position of Property Specialist and will be assisting with a myriad of activities in PMO, from financial reconciliations to excess processing.  We are grateful to have an addition of his caliber.  Welcome John online or at 3-1735.
  • There is a significant conflict between the Yahoo toolbar and the Sunflower application (as well as Kronos, we hear).  If you have the Yahoo toolbar, please remove it from your system.  If you need an Instant Messaging system, there is a generic one available free called Pidgin ( http://pidgin.im/pidgin/home) which works with most current IM systems.
