OSR’s Process Flow: Research Related Agreements
Step 1: Request
All requests for new Research Related Agreements, including DUAs, should be submitted through SeRA using the RRA Request (RRR) form. For instructions on how to start the RRR, visit ORA’s website: Research Related Agreements.
Amendments or modifications to existing RRAs can be requested using the Central Office Request (COR) form.
Step 2: Intake
After the PI has certified and submitted the RRR, a member of the intake team will review the request form for completeness and assign your RRR for review.

Step 3: Review
The assigned Contract Officer will review the RRR and its supporting documentation (SOW, data elements, protocol, waiver, other agreements, correspondence) to ensure the request is appropriately with OSR to manage. The requestor may be referred to a different central office if the request is not ordinarily managed by our office.
If the RRR has been approved by OSR, the Contract Officer will create a new transaction in SeRA under the assigned RRA # and begin drafting or reviewing the agreement. The Contract Officer may follow up with the requestor for additional information and to confirm next steps.
Step 4: Negotiation
After all essential information has been received and compliance checks are underway or resolved, the Contract Officer will initiate contract discussions with the outside party. The Contract Officer will discuss issues with the PI and Stanford project team as they arise and may consult other Stanford offices on an “as needed” basis. Step 5: Signature
Once all parties have agreed upon the terms of the contract and all compliance issues have been resolved, the Contract Officer will coordinate signatures on the agreement. The PI may be asked to sign the agreement in advance of the Contract Officer.
Step 6: Notice of Agreement
Once all administrative items have been completed and the fully executed copy of the Agreement is received, the Contract Officer will finalize the SeRA transaction and issue a Notice of Agreement (NOA), which will include a link to the SeRA record. A copy of the contract and other relevant documentation can be accessed in the associated SeRA record.
